What can I bring to shred?

This is a paper shred event, therefore only paper documents and items should be shredded.

Do we need boxes for shred day documents?

Boxes ARE strongly encouraged for the event and no plastic bags are allowed; *Note: The dimensions of the box should be the standard Staples paper box of: 9" H x 12" W x 17" L.  There is a limit of 4 boxes for personal use, no limit for departments.

What is the date of the next Shred Day event?

The Fall 2018 Shred Day event will be held on Thursday, November 1, 2018 in the Henry Circle from 10:30am-1:00pm

Are these held annually?

Yes, and may be extended to twice a year based on need and budget allocation.

Can we use students to help with moving of the boxes?

 Student workers are allowed to work as assigned by their job description.

Will each department have a specific day and time to shred or is it on a first come basis?

All shredding is done on "Shred Day." Shredding is on a first come, first served basis.

Who helps with the move?

Each department is responsible for their own shred. For any departments/offices that have 8 or more boxes collectively, you can call Facilities in advance for assistance.

Can a binder be shred or must I remove the paper from the binder first?

 Hard plastic traditional binders are not on the approved shred materials list.

Can I bring personal items from home for shredding?

Yes, personal items from home can be shredded.

Are we able to shred anytime between 10 a.m. - 1:00 p.m.?

Yes, you can bring materials for shredding until the truck fills up.

This event will be open to the Bowie State Community.

Can we type on the online Certificate of Destruction?

 Yes

Do we bring the Certificate of Destruction with us on the Shred Day or get it to you prior to that time?

 Properly filled out and completed forms should accompany the documents being disposed.

What should I do if I have a record to shred but it is not on the schedule?

 Contact the University Records Retention Manager on 301-860-3471 for additional information and or instructions.

What should I do if I see documents that belong to another department on my schedule?

 Due to the nature of our work at the university, documents are not limited to one department and or schedule.

Why must we follow the Disposal Schedule?

 As a state agency we must be in compliance with the state rules and regulations governing disposal and retention of documents.

Are departments required to maintain shred certificates in their office?

Official Certificates of Destruction are maintained according to USM Policy with the University Records Retention Manager.

If there are items that are in duplicates—must we list them separately?

No, duplicate items can be listed one time on the Certificate of Disposal; however it should be noted that duplicates were disposed of under the Description of Records Section/Column.

Is it okay to shred miscellaneous office items not on the schedule?

Yes. For clarity please contact the University Records Retention Manager for additional information and/or instructions.

Can we include magazines, pamphlets, brochures?

Yes, as long as it is all paper.

If I miss the Shred Day training session in 2018, will there be another?

No, there is one training session and Shred Day event scheduled for 2018. However, we plan a training session and Shred Day annually. You may contact Jabari Walker regarding upcoming dates.

Who should attend the Shred Day Informational Session?

The informational training is open to anyone and it is recommended that administrative personnel primarily responsible for their office or departmental document retention & destruction attend.
