Overview
The COVID-19 pandemic has presented us with the need to develop a temporary process to conduct onboarding and new hire orientation in order to comply with the guidelines established for the safety of our staff and community. As a result, many of the University faculty and staff are teleworking, and therefore the ‘New Hire Orientation’ session will take place as a virtual experience in a condensed format through Zoom.
The workshop helps familiarize newly hired faculty and staff with Bowie State University benefits programs, urgent form completion, general campus resources, university information, and more. Please refer to your offer letter or email communication for the orientation date and zoom participation credentials. We will resume regular in-person orientations once the University returns to normal physical operations.
Please be informed that, the Central Payroll Bureau has approved the receipt of payroll forms through email for new hires only. Employees can email all completed forms (see form links below) to aevans@bowiestate.edu. Please use black ink to complete error free forms. The State of Maryland will not accept any forms that have errors, scratch outs or whiteout.

Virtual Orientation Platform
The virtual orientation will be held via Zoom. You will receive a meeting invitation via the email address you used in the recruiting process that will provide the Zoom link and dial in number. Please endeavor to test your connectivity ability before the virtual session begins. If you are not able to connect via zoom, you may use a conference call line that will be provided.
Form I-9 Processing
Due to the mandate of social distancing as a result of COVID-19, the Department of Homeland Security (DHS) announced that it will exercise discretion to defer the physical presence requirements associated with Employment Eligibility Verification (Form I-9) under Section 274A of the Immigration and Nationality Act (INA).
In order to adhere to the social distancing guidelines, the DHS has afforded us the liberty to not review the new employee identity and employment authorization documents physically until further notice. We have the option to temporarily inspect the section 2 documents remotely such as over video link, fax or email, etc. and obtain, inspect and retain copies of the documents within 3 business days. We will enter "COVID-19” as the reason for the physical inspection delay. However, once normal operations resume, all employees who were onboarded using remote verification, must report to the Benefits Coordinator in the Office of Human Resources, within three business days for in-person verification of identity and employment eligibility documentation for Form I-9, Employment Eligibility Verification. Once the documents have been physically inspected, we will add “documents physically examined” with the date of inspection to the Section 2 additional information field on the Form I-9, or to section 3 as appropriate.
